Location: Kirkland, mostly home based plus coordination with on-site staff or renters
Contract Type: Independent Contractor
Hours: Part-time, varies, approximately 5 to 10 hours per week . Weekdays (Monday–Friday), with weekend follow-up on Monday. Some occasional weekend needs.
The Kirkland Woman’s Club (KWC) is seeking a reliable and detail-oriented Rental Coordinator to manage rental inquiries, scheduling, and communications for their historic Clubhouse/Building located in the East of Market Neighborhood of Kirkland. This role is ideal for someone who is organized, responsive, and comfortable working independently while coordinating with multiple stakeholders.
● Monitor KWC phone system and email during business hours.
● Respond to rental and tour inquiries by the end of each business day.
● Weekend inquiries must be addressed the following business day.
● Maintain all call logs, voicemails, and emails without deletion.
● Use online calendar to schedule tours and send confirmations to KWC Building Committee
● Ensure all prospective new renters attend a tour before signing agreements.
● Prepare rental agreements using KWC online template and ensure timely completion and distribution to renters, Treasurer, and Building Chair.
● Maintain an accurate master calendar of events.
● Verify renters provide a certificate of insurance naming KWC as additional insured (when required), proper permits in place and renter has completed rental payment 30 days prior to event.
● Send rental instruction packages to renters 48 hours before events.
● May solicit new rental leads through external marketing channels.
● Maintain respectful communication with Renters and KWC stakeholders
● Conduct professionally and remain drug- and alcohol-free during work.
● Submit monthly invoices detailing tracked communications and completed rental agreements.
● Submit a W-9 form annually.
● Strong organizational and communication skills
● Experience with scheduling tools (e.g., Calendly) and e-signature platforms (e.g., Google Workspace)
● Ability to work independently and manage multiple tasks
● Professional demeanor and reliability
● Familiarity with event coordination or property rental is a plus
● Pride and passion in sharing and caring about our historic building for future generations
Commission based - 10% of new rental revenue. Estimated $400/month
